Your Role

As Operations Manager (Hospitality & Experience Focus), you’ll take ownership of the full engagement journey for our speakers and Table Captains, delivering a seamless, memorable, and truly exceptional  Bits & Pretzels experience as part of our Speaker Operations team. (Start date: As soon as possible)

Your mission: Make every interaction extraordinary, from confirmation to post-event thank-you.

Your tasks & responsibilities

Speaker Relations

  • Build and nurture relationships with speakers and Table Captains
  • Manage communication from initial confirmation to post-event follow-ups.
  • Anticipate and address their needs, requests, and questions with warmth, enthusiasm, and a strong service mindset.

End-to-End Logistics Management

  • Handle travel arrangements, including flights, trains, and transfers, ensuring a stress-free journey for our speakers.
  • Oversee hotel bookings and accommodations, aligning with individual preferences and requirements.

On-Site Coordination

  • Welcome speakers personally on event days and ensure they have everything they need to shine.
  • Manage green rooms, schedules, and stage transitions to guarantee a smooth experience.
  • Resolve on-site issues swiftly and creatively to keep speakers happy.

Bits & Pretzels Table Captain Networking

  • Lead our Table Captain Format, from invitations and onboarding calls to relationship-building and personalized post-event follow-up, ensuring every interaction is seamless and memorable.
  • Coordinate the Table Captains on the third day of Bits & Pretzels, right at the Oktoberfest, supporting them in hosting meaningful and high-impact conversations with attendees.
  • Oversee all logistics, from table assignments and timing to bookings, materials, and extras, creating a standout networking experience.

Your Profile

  • Passion for Events: You thrive in dynamic, high-pressure environments and have a natural flair for hospitality.
  • Organizational Skills: You have an eagle eye for detail and can juggle multiple responsibilities without breaking a sweat.
  • People Person: You genuinely love connecting with people and have a knack for building strong relationships.
  • Problem-Solving Pro: Quick thinking and creative solutions are your superpowers.
  • Strong Communication: Fluent in English and German, with excellent verbal and written communication skills.
  • Tech & Innovation Mindset: You have a strong affinity for automation, AI, and new software tools, and enjoy optimizing workflows through smart technology.
  • Operational Excellence: You develop and maintain speaker databases and documentation for easy reference, and collaborate with internal teams (Event, Marketing, Partnerships) to ensure all logistics run smoothly.

Experience: You have 2–3 years of experience supporting executives or managing high-touch stakeholder relationships, ideally in hospitality or event management, and are ready to take full ownership of complex guest or stakeholder journeys from start to finish.
